Step 1: The Operator Initiates a Request

The workflow begins in the DocChat Operator Console, a secure dashboard accessible only to authorized personnel within your institution.

  • An operator (such as a KYC analyst or relationship manager) logs into the console.
  • They create a new Document Request, specifying the exact files required from the customer (e.g., Emirates ID, Passport Copy, 3 Months Bank Statements).
  • The operator can add contextual instructions for each document, ensuring the customer understands exactly what is needed, reducing back-and-forth communication.
  • A secure, time-bound link is generated for this specific request.

Step 2: The Customer Receives a Secure Link

Unlike traditional portals that force customers to create accounts, remember passwords, and navigate complex dashboards, DocChat utilizes secure, magic-link technology.

The customer receives the request via their preferred communication channel (Email or SMS). The message contains a unique, cryptographic link that grants them temporary, scoped access to their specific upload portal. This approach drastically reduces friction, reducing back-and-forth.

Step 3: Frictionless Document Upload

When the customer clicks the link, they are taken to a mobile-optimized, branded upload environment.

The interface clearly lists the requested documents. Customers can easily drag-and-drop files from their desktop or snap photos directly from their smartphone camera. As documents are selected, DocChat performs client-side validation to ensure the files meet size and format requirements before the upload begins.

Crucially, all data is encrypted in transit using TLS, ensuring that sensitive information cannot be intercepted.

Step 4: Secure Storage and Operator Review

Once uploaded, documents are immediately encrypted at rest using AES-256 encryption. Our infrastructure ensures strict data residency, with documents and records stored in the Azure UAE North region, satisfying local regulatory requirements.

The operator receives a real-time notification that the documents have been submitted. They can then log back into the Operator Console to review the files. If a document is illegible or incorrect, the operator can reject that specific file and instantly trigger a follow-up request to the customer.

Step 5: The Cryptographic Audit Chain

Throughout this entire process, DocChat operates silently in the background, recording every single action to an immutable Audit Chain.

From the exact millisecond the request was generated, to the customer opening the link, the file upload, and the final operator approval—every event is logged, timestamped, and cryptographically signed in our Audit Chain. This provides compliance officers with a turnkey reporting mechanism that proves continuous adherence to CBUAE data handling regulations.

The Delivery Workflow: Secure Outbound Transmission

DocChat manages the exchange of sensitive information in both directions. The outbound delivery workflow parallels our inbound collection process, ensuring CBUAE-regulated institutions can safely transmit files to customers under the same secure audit umbrella.

Step 1: The Operator Prepares and Sends Documents

From the same secure console used for collection, operators select one or more documents (such as account statements, contracts, or notices) and select the target recipient. The system initializes a secure delivery bundle and generates a time-bound cryptographic link.

Step 2: The Customer Receives a Secure Notification

The customer receives a notification via SMS or email containing a unique, temporary link. No sensitive document content is ever sent in the notification itself, preventing data exposure on transit channels.

Step 3: Identity Verification (OTP Challenge)

Clicking the link brings the customer to a secure portal that prompts them for verification. A one-time passcode (OTP) is sent to their registered contact number or email. Only after entering the correct code is the portal unlocked to release the documents.

Step 4: Secure Download and Confirmed Delivery

The verified customer downloads their files from a clean, mobile-optimized interface. DocChat records the completed delivery — timestamped and attributed — documenting the time and recipient details of the download.
